Postdoctoral Rules & Guidelines

For Postdoctoral Fellowship Programs under the UCAR Visiting Scientist Programs

Postdoctoral fellows chosen for the programs listed below are full-time UCAR employees under the UCAR Visiting Scientist Programs (VSP), and must comply with all UCAR policies and procedures.  They are full-time benefit eligible employees.

If not a U.S. citizen, all postdoctoral fellows must be able to provide documentation of their eligibility to work in the U.S. prior to beginning employment.  Although it is the responsibility of the fellow, UCAR Human Resources can provide assistance in securing visas, and should be contacted as soon as the offer of employment is made. 

Guidelines for travel and relocation for postdoctoral fellows

In order to be covered under UCAR travel insurance, all business and relocation travel must be authorized by VSP who will prepare the proper documentation required under UCAR travel policies and procedures.  This also includes travel that is being funded by another institution.  Travel that is not authorized is not eligible for travel insurance or reimbursement.

Relocation travel costs for postdoctoral fellows and their dependents who live at least 50 miles from their host institution are paid in accordance with UCAR travel policy.  UCAR will also pay up to a maximum of $750 towards the moving of any personal belongings, based on receipted costs.  House-hunting is not an allowable cost for postdoctoral fellows, but a few days of per diem and lodging is allowed at the time the move takes place to help while locating housing.  Moves made before VSP authorization is obtained will not be reimbursed by UCAR.

Scientific Travel Allowance

A scientific travel allowance is provided annually.  Unused portions of the allowance may be carried over to the second year of the appointment.  Under special pre-defined circumstances, allowances may be used for other than travel expenses and also may be used at the completion of the fellowship.  However, these are exceptions and MUST be discussed with VSP well in advance of the end of the appointment.   Except in rare instances, hardware is not an allowable expense.

UCAR allows flexibility during the fellowship term for family and maternity leave.  Talk to our office about your specific situation and we will work with you.

Depending on the available funds at UCAR, we try to support at least a portion of the cost of publishing. 

Specific Rules/Guidelines Pertaining to Each VSP Postdoc Program

Pace Fellowship Program

Postdocs receive guidance and mentoring from two hosts along periodic facilitation by a member of the UCAR Oversight Committee.

In each fellowship, the work is conducted under the specification and direction of institutional partners: a Climate-Science institution (CSI partner) and a Decision-Making institution (DMI partner). Postdocs must spend a portion of their time on-site at the Decision-making institution.  Half of their time with specific office space at both the CSI and DMI is ideal.

Progress reports are submitted to UCAR every 6 months by the fellow and the hosting scientist.

C&GC Postdoctoral Program

Hosts are expected to provide postdocs with a suitable office space, computer, telephone, internet access, and basic office administrative support during their appointment, as well as any other unique research costs associated with the fellowship.

An annual and final report is required from each postdoctoral fellow.  Host reports are required at the end of the fellowship.

Postdocs are expected to attend and participate in the Summer Institute during their fellowship.

Jack Eddy Postdoctoral Program

Hosts are expected to provide postdocs with a suitable office space, computer, telephone, Internet access, and basic office administrative support during their appointment, as well as any other unique research costs associated with the fellowship.

An annual and final report is required from each postdoctoral fellow.  Host reports are required at the end of the fellowship.
